    All participants MUST collect their check-in pack in person from the event hub in Ballater on Saturday 9th September.

    • The event hub is located in Ballater Victoria Hall (beside the old station)
    • The event hub is open for check-in on Saturday 9th September 1000-2100
    • No check-in on event day - Sunday morning, except by prior arrangement
    • Please bring photo ID, either driving licence or passport. If you are collecting the check-in pack on somebody else's behalf you must present a copy of their photo ID and a signed letter giving you permission to collect their pack.

    Getting to the Start ⬇

    On the morning of the event please arrive early. Ballater will be a busy place on Sunday. Please follow the signs and directions given by event marshals. If you are in a later start wave please plan your journey carefully and arrive WELL before the race begins and factor in the final confirmed road closures timings and their potential impact on your journey.

    If you are staying near to Ballater please cycle to the start line to ease congestion. We welcome spectators to the event but please try and car share as much as possible.

    Whether travelling by car or cycling please follow the signs and directions given by event marshals.

    You will be directed from the the main car park in Ballater to the start line.

    Car Parking ⬇

    Car Parking for all participants and spectators is included within your entry fee. Parking will be available close to the centre of Ballater.

    Event camping facilities for all participants and spectators are available at cost of £5 per pitch. Camping is only available on Saturday 9th October 2017. 

    The existing campsite from the 2016 event will be used in Ballater and is bookable.

    At the event campsites there will be toilets and a water supply. Use of camping stoves is permitted but no open fires or BBQs. There will be no shower facilities. No vehicles will be allowed in the campsite, please use the FREE event parking for all cars, vans and camper vans (which is in the next door field).

    The Start ⬇
    • 100 mile route - Participants will start in 3 minute wave intervals from 6am to 6.30am in Ballater (Your wave and start time will be in your check-in pack)
    • Your start time is based on the estimated finish time that you provide when you register so that cyclists can be grouped with participants of similar ability. If you wish to start with a group of friends please ensure you are part of the same team. If you arrive late or miss your start wave, you will join the event from the last wave.
    • No cyclists will be allowed to leave after the sweep vehicle has left the event start.

      • Bikes with modifications such as aerobars and Triathlon specific bikes are NOT permitted
    • Helmet (Must comply with safety standard BSEN 1078)
    • Bike lights - 100 mile route only (front and rear)
      • The 100 mile event starts at 6am, just before sunrise. Cyclists will be riding in twilight in the early stages of the race. All participants, regardless of start time must have lights fitted to their bikes.

    NOTE: MP3 players with headphones are NOT permitted. These may prevent you from hearing the instructions of safety marshals and is therefore a safety hazard.

    Feed Stations ⬇

    With 100 miles to cover this will be tough and energy-sapping event. You must equip yourself with full drinks bottles and energy food before you start. 

    100 mile route - 6 feed stations will be stocked with energy drinks and food along the route.

    At each feed station there will also be mechanical support, rubbish collection and toilets.

    Mechanical Support ⬇

    There will be mechanical support provided at the event hub in the centre of Ballater on Saturday 9th September. The team there will be able to assist with minor issues only, as they are likely to be very busy. We advise that you get your bike serviced in advance of the event to best avoid difficulties across the event weekend.

    All participants must carry a minimum of a pump, spare inner tubes, tyre levers and a puncture repair kit. More importantly you must have the knowledge of how to change an inner tube - you must not rely on mechanical support reaching you or fellow riders stopping to assist.

    There will be roaming motor bike marshalls on the route who can assist but they will be limited in the severity of mechanical issues they can fix.

    Litter ⬇

    This is a stunning part of the country and we need to leave it as we found it.

    Please do not drop rubbish or used water bottles on the route. Littering will have a negative impact on whether the event will run in future years.

    There will be a litter drop zone on either side of each feed station where rubbish can be discarded. Make sure you use these.

    Toilets ⬇

    Portable toilets will be available at the event hub throughout the event weekend. On the route there will be toilets at each feed station.

    For the consideration of landowners and local residents please do no stop to relieve yourself anywhere else on the route.

    Chip Timing ⬇

    All participants will be given a timing chip sticker. You will receive instructions on how to fit the timing chip at event check-in. Assuming this is fitted correctly you will receive an official finish time. The official finish times will be posted online within 48 hours of the event.

    Slow Riders ⬇

    After the last wave has departed on the 100 mile route from Ballater, the sweep vehicles will set off and maintain a speed of 12mph. Roads will reopen once the sweep has passed through each section and after it has been deemed safe for them to reopen.

    Participants cycling the 100 mile route must maintain a minimum average speed of 12mph. This means completing the distance in around 8hours 20min.

    If you do not maintain the stated speeds above, you may be overtaken by the sweep convoy and it is at the organisers discretion whether you are allowed to continue.

    If you cannot continue due to critical mechanical breakdown or you wish to withdraw, there will be a bike trailer and bus as part of the sweep. You will be collected and taken to the Finish.

    IMPORTANT: For safety reasons, you must not leave the course without informing an Event Official.

    First Aid Support ⬇

    We will be working closely with all emergency services to ensure the safety of the event and medical provision will be provided by a team of event medical specialists. First Aiders will be available at static and mobile units along the route as well as at the Finish.

    If any participant is NOT allowed to continue for medical reasons, Event Control will be notified.

    If you see another participant who is having trouble or who needs assistance, please notify an Event Official or a member of the medical team as soon as it is safe to do so, giving their rider number if possible.

    If you need to stop any event marshalls for any reason throughout the event, ensure you stand clear of the road, facing oncoming riders and raise your right hand so that it is clear that you need assistance. Please ensure that your hand is raised in enough time to let the event marshal see you in time to stop safely.

    IMPORTANT: Please give way, stop or pull off the road for any emergency vehicles that require access on the route.

    We advise that if you have recently had a cold or have been ill, you should seek medical advice. If you feel unwell on event day, our advice is that you should not take part. The organisers reserve the right to prevent participation on the day for medical reasons.

    We sincerely hope that your training has gone well but if that is not the case, we seriously advise that you consider whether you are fit enough to participate.

    Road Closures ⬇

    The Etape Royale takes place on closed roads. This means roads closed to vehicles.

    To limit the impact on residents, there will be a rider control point at Rhynie at the A97 crossing point (37.2 miles) starting at 0900. All riders passing through this point after 0900 may be held for a short period to allow local traffic to pass. Cyclists arriving before 0900 will not be affected by this. We anticipate this will not affect the fastest two-thirds of participants.

    There will also be 2 short sections of the route where participants will ride on the left hand side of the road. These are at approximately 56 and 98 miles.

    Rider Etiquette and Road Safety ⬇

    Be aware there will be a wide range of rider abilities on this event, as well as a range of experience of riding in large groups.

    Communication between riders and event marshals is very important to everyone’s safety so no MP3 players and headphones will be permitted throughout the event.

    Marshal Red Flag: This means hazard ahead. If requested by a marshal to stop, you must do so.

    Marshal Black Flag: This means the race has been halted. Please take direction from an event marshal.

    Stray Livestock: Be aware of potential stray livestock on the route.

    Traffic Management Systems: Please note there are 2 short sections where cyclists will cycle in the left hand lane with cars on the right. The cars will be controlled by a traffic management system.

    Refunds and Deferrals ⬇

    The Participant acknowledges that participant places are limited and payment of the Entry Fee and reservation of the place has an effect on logistics and the subscription for the Event. Accordingly, the Participant may only withdraw from the Event at any time, subject to the following:

    If the Participant pulls out of the Event or if the Participant fails to check-in for the Event, he/she will receive no refund or Reserved Entry for any future race or event.

    If the Participant withdraws from the Event because of injury or illness, upon request the Event Organiser will provide the Participant via email with a place free of charge in the same Event the following year, provided such event takes place (i.e. a Deferred Entry). To secure their place the Participant must complete the online entry process no later than sixty (60) days prior to the commencement of the following year’s Event weekend or within the stipulated time limits for the Event, whichever is earlier. The Participant shall only be entitled to roll entry over once and it must be for the immediately following year.

    If the Participant withdraws from the Event because of injury or illness the Participant must provide a letter from their doctor, which must be submitted to WildFox Events no later than the commencement of the Event.

    Notice of Withdrawal from the Event must be communicated by emailing info@wildfoxevents.com stating clearly your desire to withdraw and putting the words ETAPE ROYALE WITHDRAWAL in subject line of the email, or by writing to the Event Organiser at WildFox Events, Kindrochit, Ardtalnaig, By Aberfeldy, Perthshire PH15 2HX. Withdrawals WILL NOT be accepted by telephone.

    Event Regulations ⬇

    Etape Royale 2017 - Participant Waiver/Event Regulations. You must agree to the below waiver during the registration process.

    1. ACCEPTANCE OF CONDITIONS

    By registering to take part in the WildFox Etape Royale you are agreeing to the following conditions of entry and any instructions given to you by the organisers, officials and marshals before, during or after the event. These Conditions shall apply in place of, and prevail over, any terms or conditions (whether or not in conflict or inconsistent with these Conditions) contained or referred to in any documentation submitted by the Participant or in correspondence or elsewhere or implied by trade custom, practice or course of dealing. A variation of these Conditions is only valid if the Event Organiser gives notice to the Participant in writing in any official Event material or correspondence prior to the Event (including via email). The Participant shall be deemed to have accepted these Conditions upon completion of the Entry Form. 1.1 “Event Organiser” means WildFox Events, a company incorporated in Scotland - number 199793, registered offices: 25 Castle Terrace, Edinburgh EH1 2ER

    2. DEFINITIONS

    2.1 “Entry Form” means the website pages which must be completed in order to participate in the Event. 2.2 “Event” means the event named on the Entry Form.

    2.3 “Entry Fee” means the price of entry into the Event as set out in the Entry Form. 2.4 “Online Entry Process” means the Event Organiser’s online registration system participants must use in order to apply, register and pay for their entry to the Event. 2.5 “Participant” means the person named on the Entry Form who will be participating in the Event. 2.6 “Race Pack” means the official pack issued by the Event Organiser to the Participant containing all relevant Event materials. 2.7 “Event Information” means any and all information provided by the Event Organiser in relation to the Event. 2.8 “Deferred Entry” means that if the Participant withdraws from The Event before the commencement of the Event weekend (up until 4/9/17), he/she will receive no refund but, upon request, the Event Organiser will provide the Participant with a free of charge entry in the same Event the following year, provided the Event takes place and that the Participant retrieves their place within the stipulated time limits and as long as he/she provides the necessary medical proof validating a legitimate deferral. 2.9 “Reserved Entry” means the Participant’s entry that has been reserved (either deferred from the previous year or otherwise) for the following year subject to the Participant completing an Entry Form and paying the applicable Entry Fee for such event within the stipulated time limits for such Event. 2.10 “Withdrawal” means the Participant has decided to not take part in the Event and such withdrawal is effective once received written (via email or post) confirmation from the Event Organiser acknowledging the Participant’s request to withdraw from the Event.

    3. PARTICIPATION

    3.1 You must be at least 18 years of age on Sunday 10th September 2017 to take part in the Etape Royale. 3.2 All participants enter into the Etape Royale of their own will, understanding the arduous nature of the event. As such they must be medically fit to participate and take full responsibility for their own personal health and fitness. You are strongly advised to consult a doctor before undertaking any strenuous exercise or training programme, or participating in the event 3.3 You are taking part in the Etape Royale at your own risk. The Event organisers (WildFox Events, a company incorporated in Scotland - number 199793, registered offices: 25 Castle Terrace, Edinburgh EH1 2ER ) will have no responsibility for any risk, loss or costs which you incur in connection with the event and you will indemnify the organisers and any persons acting on their behalf for any risk, damages, loss or costs arising as a result of your participation in the event. It is your responsibility to obtain any necessary personal and third party liability insurance in connection with the Etape Royale. 3.4 Prior to and during the event you will be responsible for your own safety, The participant will take all reasonable care to ensure the safety of other participants and you will comply promptly with all instructions and guidelines given by the organisers and any persons acting on their behalf. The participant must not deviate from the official route, which will be marked with Etape Royale signage from start to finish. There will be marshals located on the route and all volunteers and staff involved in the event will be clearly identifiable. 3.5 The Participant agrees to abide by all applicable rules and regulations of any relevant sporting governing bodies that may oversee the Event. The Participant shall not be entitled to a refund of the Entry Fees if he or she is disqualified from the Event as a result of an infringement of these Conditions or any such rules and regulations. 3.6 The Event Organiser and/or owners of the venue where the Event is conducted are also entitled to impose additional Event rules upon the Participant from time to time which will be provided or made available to the Participant and will form part of these Conditions. Any relevant rules and regulations may be obtained from the Event website or upon request to the Event Organiser. 3.7 All participants will be given an event identification (body, bike and helmet) number at registration, all of which which must be displayed for identification at all times. 3.8 It is the responsibility of the participant to provide a suitable, safe and roadworthy bicycle, helmet and bike lights which comply with all applicable rules and regulations. NO headphones are permitted to be worn by participants for the duration of the event. 3.9 Throughout the event, participants will be checked for their suitability to continue on grounds of capability including their equipment and state of health. If any of the marshals and medical staff believe that the safety of the individual will be compromised by their continued participation, they reserve the right to ask that person or persons to stop. If that person or persons continue on the route they will no longer be officially participating in the event and WildFox Events Ltd and associates take no further responsibility for their participation. 3.10 All decisions and rulings made by the event organiser are final. Accordingly, the Participant will comply with all Event rules and all instructions and guidelines given by stewards, marshals, and safety personnel. The Participant acknowledges and agrees that the Event Organiser will organise and run the Event and will have sole authority and be the final arbiter on all decisions relating to the safety, running and organisation of the Event, the rules of the Event, the timings/finish times and the placings. 3.11 These Conditions and the entry into the Event are personal to the Participant and he/she may not assign any of his/her rights or obligations under this Agreement without the prior written consent of the Event Organiser. The Participant represents and warrants that the entry is purchased for personal use only, that it cannot be donated free of charge or otherwise given away, and that it is not purchased as part of any form of business or commercial activity (save as expressly authorised by the Event Organiser), and in particular, that the entry may not be resold or offered for resale by anyone whether at a premium or otherwise and may not be used for advertising, promotion use as a prize (including in competitions and sweepstakes), travel packages, or for any other trade purposes. Donation, give away, resale or attempted resale is grounds for seizure or cancellation without refund or other compensation. 3.12 The Participant acknowledges and accepts that circumstances concerning an Event may change from time to time for reasons out of the Event Organiser’s reasonable control or otherwise, without the Event Organiser incurring any liability and without any rights of Withdrawal being accrued by the Participant other than set out in clause 5 below. By way of example, and for illustration purposes only, car parking arrangements and the exact route of any part of the Event may change but such changes/issues will not allow the Participant to withdraw and nor will the Event Organiser be deemed liable except as otherwise set out herein. 3.13 The event regulations will remain relevant regardless of the headline sponsor or sub sponsor. 3.14 You are responsible for returning any electronic timing device. Missing devices will be charged back to the participant. 3.15 You must be aware of the check in procedures at checkpoints, if required. If you retire from the event you must inform the marshals at that checkpoint or call Event Control if retiring between checkpoints. This is particularly important as otherwise we must come looking for you which wastes valuable event resources. 3.16 The Event Organiser may introduce cut off times as it sees fit as part of the Event rules, being limits on the time taken to complete sections of the Event (as initiated by the Event Organiser at its discretion) to ensure the safe and proper running of the Event and to minimise inconvenience to residents along the route. Consequently, participants may be instructed to withdraw from the race in accordance with imposed cut off times.

    4. BOOKINGS & PAYMENTS

    4.1 In consideration for being granted the right to participate, the Participant must pay the Entry Fee by no later than the closing date set out on the Entry Form. 4.2 The Participant shall complete the Entry Form online and submit it together with payment of the Entry Fee online in accordance with the Event Organisers' website. 4.3 The Participant shall not be eligible or entitled to participate in the Event until full payment of the Entry Fee has been received by the Event Organiser. No payment shall be deemed to have been received until the Event Organiser has received cleared funds. 4.4 10% of all participants entry fees will be donated to local charities and community initiatives.

    5. WITHDRAWAL, CANCELATIONS OR ALTERATIONS

    5.1 The Event Organiser reserves the right to alter the start time of the Event. In the event of a change of start time the Participant will be notified of the revised start time with as much notice as reasonably practicable. No refund in full or in part shall be made for any change in start time for an Event provided the Event takes place on the specified date of the Event. 5.2 The Event Organiser reserves the right to change the date of the Event. In the event of such change of date of the Event, where the Participant is unable to attend on the revised date, he/she has fourteen (14) days to inform the Event Organiser in writing from when the change in date is announced to receive a full refund of their Entry Fee, but excluding the Active.com fee, with no further liability whatsoever arising from such Withdrawal. 5.3 The Event Organiser reserves the right to amend the Event format, route or distance in their sole discretion or cancel the Event due to circumstances beyond its reasonable control, for example if WildFox Events are unable to deliver the event for financial reasons or for any safety related reason. In the event of the Event being cancelled WildFox Events shall provide the Participant with a refund of the entry fee but excluding the Active.com fee, with no further liability whatsoever arising from such cancellation. If the Event is changed to another reasonably similar format, route or distance the Participant will not be entitled to any refund and there shall be no further liability whatsoever arising from such change of format. 5.4 The Participant acknowledges that participant places are limited and payment of the Entry Fee and reservation of the place has an effect on logistics and the subscription for the Event. 5.5 If the Participant pulls out of the Event or if the Participant fails to check-in for the Event, he/she will receive no refund or Reserved Entry for any future race or event. 5.6 If the Participant withdraws from the Event because of injury or illness, upon request the Event Organiser will provide the Participant via email with a place free of charge in the same Event the following year, provided such event takes place (i.e. the Deferred Entry as defined in the definitions above). Withdrawals WILL NOT be accepted by telephone. 5.9 Should places in any Event Category for the Event be oversubscribed, the Event Organiser reserves the right to either offer the Participant a place in a suitable alternative Event Category for such Event or withdraw the offer of a place. The Event Organiser will use its reasonable endeavours to offer the Participant his/her desired Event Category however the Event Organiser cannot be held responsible for its availability. All places are dictated by capacity and subject to availability at the time of application. Should places in any Event Category of the Event be oversubscribed, the Event Organiser reserves the right to either offer the Participant a place in a suitable alternative Event Category for such Event or withdraw the offer of a place. 5.10 If the Participant is unable to participate there is the option of transferring their place to a friend. No refund will be made and the replacement participant must complete all necessary requirements as advised by WildFox to ensure that they agree to all terms and conditions of the event. 5.11 Notice of a Transfer must be communicated by emailing info@wildfoxevents.com stating clearly your desire to transfer your place and putting the words ETAPE ROYALE TRANSFER in the subject line of the email, or by writing to the Event Organiser at WildFox Events, Kindrochit, Ardtalnaig, By Aberfeldy, Perthshire PH15 2HX. Transfers WILL NOT be accepted by telephone.

    6. EVENT ORGANISER RESPONSBILITIES/LIABILTY

    6.1 Notwithstanding anything in these Conditions, the Event Organiser shall not be liable to the Participant for any liability in contract, tort (including negligence) or otherwise for any loss of business, revenue or profits, anticipated savings or wasted expenditure, loss or damage of or to personal equipment belonging to the Participant or any indirect or consequential loss or damage whatsoever (notwithstanding that such loss was within the contemplation of the parties at the date of submitting the Entry Form) arising out of the Participant taking part in the Event or any other matter arising under these Conditions nor for an aggregate amount greater than the Entry Fee paid by the Participant. Without limiting the foregoing, the Event Organiser will not be liable for any actions of any spectators or other third parties unless otherwise set out herein. 6.2 Accordingly the Participant hereby expressly and irrevocably renounces, for him/herself, heirs and successors in title the right to any recourse or claims whatsoever against the Event Organiser, its officers, employees, suppliers and/or sponsors and/or persons for whom it is answerable (“Associated Parties”) as a result of any kind of physical, mental or other loss or damage of whatsoever nature (including any loss of earnings, profits, or pain and suffering) suffered by the Participant, directly or indirectly, or by his/her family or by any dependents and caused by an event in any way relating to the Participant’s participation in Event, and the Participant hereby undertakes, for him/herself, heirs and successors in title to indemnify and hold harmless the Event Organiser, and the Associated Parties for any costs and/or amount, which they or any of them may be required to pay as a result of any aforesaid recourse or claim by whomsoever made. The Participant also agrees to indemnify the Event Organiser and the Associated Parties for any claim, actions, liabilities or losses resulting from any breach of the Participant’s declarations above and/or the Participant’s negligent acts or omissions and/or wilful misconduct. 6.3 This clause 6 shall be read and construed and shall have effect subject to any limitation imposed by any applicable law.

    7. PERSONAL DATA, PUBLICITY AND RESULTS

    7.1 In the course of registering and participating in the Etape Royale we will collect personal data from you. We may process and use the personal data collected for administrative, research and publicity purposes. You are entitled to request access to, and correction of, all personal data collected by us, as well as requiring us to delete your data if you no longer wish us to process it after having taken part in the Etape Royale. We may also pass your details to our PR agency who may contact you for event promotional purposes, the sponsor, and to the beneficiary charities who will only ever contact you in relation to this event. 7.2 Photos taken during the event by our official photographer may be used in the Etape Royale marketing literature. By entering the event you give permission for the free use of your name, voice or picture in any photo, images or video footage broadcast, telecast, advertising, promotion or other account of the Etape Royale by WildFox Events, the sponsor and the beneficiary charities in any future fundraising, marketing or publicity materials including national and regional press and on any of our website(s) as well as on WildFox Events, sponsor or charity beneficiaries’ Social Media accounts. In addition, you agree to WildFox Events, sponsor or charity beneficiaries storing copies of such photo images or video footage. 7.3 The event organiser, WildFox Events, may also use your details to send you information about future events which we think may be of interest to you. 7.4 The Event Organiser will use reasonable endeavours to provide an Event finish time for the Participant however it cannot be held responsible for any computer result anomalies or any technical malfunctions. 7.5 The Event Organiser will contact you from time to time about the Event and related activity. Your details will also be passed onto the official Event Photographers in order for them to email you regarding your photo’s after the race – they will not contact you about anything other than your Event photo. The Event Organiser will not pass your details onto any other third parties.

    8. GENERAL

    8.1 These Conditions (and the documents referred to herein) constitute the entire agreement and understanding of the parties and supersede any previous agreement between the parties relating to the Event. The Participant acknowledges and agrees that in submitting the Entry Form (and the documents referred to therein) it does not rely on, and shall have no remedy in respect of, any statement, representation, warranty, understanding, promise or assurance (whether negligently or innocently made) of any person (whether party to these Conditions or not) other than as expressly set out in these Conditions. 8.2 Nothing in these Conditions shall constitute or be deemed to constitute a partnership between the parties hereto or constitute or be deemed to constitute either party as agent of the other for any purpose whatsoever and neither party shall have authority or power to bind the other or to contract in the name of the other in any way or for any purpose. 8.3 No waiver by either party of a breach or a default hereunder shall be effective unless in writing and signed by both parties and any such waiver shall not be deemed to be a waiver of any subsequent breach or default of the same or similar nature. 8.4 To the extent permitted by law all provisions of these Conditions shall be severable and no provision shall be affected by the invalidity or unenforceability of any other provision with the remaining provisions if necessary, being so amended as shall be necessary to give effect to the spirit of these Conditions so far as possible. 8.5 These Conditions shall be interpreted in accordance with the laws of Scotland and any dispute arising hereunder shall be subject to the exclusive jurisdiction of the Scottish Courts.

    9. MEDICAL DISCLAIMER

    9.1 In the event of an accident or illness whilst taking part in this event, I hereby give permission for Event medical staff to initiate medical treatment and to inform my Next of Kin in case of hospitalisation. 9.2 To the best of my knowledge I submit a true and accurate description of my medical history and current condition. I understand that I am taking part in an event in a remote and rural location where there will be a longer medical response time in the event of emergency. I agree to take part in this event at my own risk and will not hold Event medical staff or any other Event related personnel or WildFox Events responsible in the event of acute illness, injury or death. 9.3 Participants must agree to inform Event medical staff of any medical or other condition that might affect their ability to take part in the event.
